Event Coordinator

JOB DUTIES & RESPONSIBILITIES:

As an Event Coordinator your role is to create a positive customer experience by liaising with clients and talent to expertly coordinate logistics.  Responsibilities include contract review, talent management and support, booking travel, coordinating conference calls and creating detailed accurate event briefs for talent and clients.  There may be occasional travel to events (5-10%).

Other responsibilities include covering company phone lines approximately two hours weekly, and performing other projects as assigned.

Required Skills, and Experience, and Education:

Qualified candidates must have:

  • A Bachelor’s degree from an accredited university in communications, marketing, events, hospitality or related discipline
  • At least 2-3 years professional work experience in an office environment, 
  • The ability to work under tight deadlines and under pressure
  • SUPERB organizational and teamwork skills
  • A strong sense of responsibility
  • Excellent written and verbal communication skills
  • Strong computer skills including Word and Excel (experience with CRM is preferred)
  • Experience working with events, event management or travel
  • Fast problem-solving skills and the ability to adapt to change
  • The ability and willingness to be on-call during nights and weekends for travel related emergencies 

Additionally, in our line of work, it is very important that candidates be extremely detail-oriented as well as discrete and professional.


Compensation & Benefits


Leading Authorities’ compensation includes a base salary, quarterly bonuses and monthly commissions on speaker book sales.  Additional compensation includes 401(K) plan and profit sharing, paid vacation and holidays, health/dental/vision insurance, life and disability insurance. Work hours are 8:30am to 5:00pm and employee will need to perform occasional overtime.

This position is based in our Washington, DC headquarters which is conveniently located in downtown Washington, DC, close to the Dupont Circle, Farragut North, and West Metro Stations.

SALES AND MARKETING COORDINATOR

Reports to: Vice President, Sales

Status: Full Time, Non-Exempt

Leading Authorities, Inc., one of the most prominent speakers bureaus, with unique capabilities in lecture representation, video, and live event production, and entertainment, is looking for a dynamic, energetic, and professional Sales and Marketing Coordinator to support our busy sales and marketing teams within our Washington, DC office. This position is a great stepping stone into a fascinating industry that sits at the intersection of business and entertainment.

If you are curious, extremely detail-oriented, have a marketing and sales mindset, and enjoy meeting fascinating people from all walks of life, this is a great way to gain experience and build skills in both marketing and sales for an industry-leading speakers bureau.

In this role, you will support our highly-motivated, successful sales staff by producing sales proposals for clients, conducting research, working on contracts, and completing other vital tasks. You will also assist our growing marketing team with a host of projects spanning digital marketing, database management, and event support.

We are looking for candidates with bachelor’s degrees in marketing, communications, business, or other related fields. 1-2 years professional experience is preferred.

KEY RESPONSIBILITIES:

Provide sales support to include:

  • Create Client/Talent Firm Offers and Contracts
  • Assist with client proposals
  • Assist with creating event itineraries and travel arrangements
  • Scan and track signed contracts
  • Conduct research for sales staff
  • Coordinate calendars with sales staff, speakers, and clients
  • Assist with client and speaker appreciation program
  • Collect and manage speaker video footage
  • Update various databases
  • Assist at marketing events

Provide administrative support to include:

  • Receive, distribute, and send mail and packages
  • Back-up phone duty for approximately four hours a week
  • Send emails and letters on behalf of the sales department
  • Miscellaneous projects and additional duties, as required

REQUIRED SKILLS & QUALIFICATIONS:

  • Bachelors degree in business, communications, marketing, hospitality, or related discipline
  • Extremely detail oriented and organized
  • Experience with Microsoft CRM, a plus
  • Ability to juggle multiple projects simultaneously
  • Ability to work under tight deadlines and occasional overtime
  • Must possess excellent customer service skills

 MARKETING INTERNSHIP

Reports to: Director, Digital Marketing

Leading Authorities, Inc. is seeking a marketing intern to support our marketing and event department. If you are interested in working in a fast-paced environment where you'll quickly learn a wide range of marketing skills, work closely with senior executives across various departments, gain exposure to various new marketing workflows and platforms, and manage your own projects, then this may be the perfect opportunity for you. 

KEY RESPONSIBILITIES:

  • Work closely with our Digital Marketing Coordinator, Marketing Events Manager, Marketing and Operations Manager, Senior Vice President of Marketing and Creative Services, and Chief Operating Officer on various assigned projects
  • Assist in the organization, planning, and execution of marketing events
  • Assist in the research and generation of sales leads
  • Help manage social media channels
  • Assist in the database entry and maintenance process of client information
  • Maintain and update speaker information in database and website
  • General administrative support, as needed

REQUIRED SKILLS & QUALIFICATIONS:

  • A Junior or Senior college student
  • Flexibility to work Monday through Friday from 8:30 am to 5:00 pm, with the ability to work one to two extra hours per month for special events, as needed
  • Solid project management skills, organizational skills, attention to detail, creativity, and strong computer skills
  • High standards of oral and written communications
  • Extremely organized and strong attention to detail
  • Ability to work independently and solve problems

Leading Authorities, Inc. is seeking a creative graphics and video intern to support our marketing department. If you are interested in sharpening your creative multimedia production skills in a real-time marketing environment where you’ll quickly learn a wide range of marketing skills, as well as enhance your design experience by creating engaging content from graphics to videos, then this may be the perfect opportunity for you. We are looking for candidates who have experience creating dynamic graphic and video content and can work out of our Washington, DC office for at least 15 hours per week. Art majors are encouraged to apply.

KEY RESPONSIBILITIES:

  • Work closely with Digital Marketing, Director; Manager, Marketing Events; Marketing and Operations Manager; and Senior Vice President of Marketing and Creative Services on assigned projects
  • Assist in the design of marketing materials
  • Create graphics for social media, event materials, and miscellaneous projects
  • Create and edit videos for internal and external use 

REQUIRED SKILLS & QUALIFICATIONS:

  • A Junior or Senior college student
  • Working knowledge of InDesign, Photoshop, Adobe Pro, and Final Cut
  • Flexibility to work Monday through Friday from 8:30 am to 5:00 pm, as your college schedule allows
